Present are DJPisano, LarryMorgan?, SueAnnHeatherley?, BeckyWarner?, KarenONeil? and MikeHolstine?
Hermitage is currently closed, there are some people in the process of buying it, it is uncertain when and if it will be re-opening
BeckyWarner? will try to contact the potential new owners of the Hermitage to ascertain their position and potential for hosting summer school participants
It is possible that we can offer the bunkhouse for free
LarryMorgan? will ask RichardPrestage? about this.
We don't want to push the bunkhouse on people but we should make it clear to participants that it will be tough on observing nights to return people to their accomodation.
KarenONeil? mentioned that we could make it 'mandatory' as far as is possible that participants stay at the bunkhouse on observing nights to lighten the load on drivers
Redwood house should be available
The Inn At Snowshoe was mentioned as possible accomodation.
Mountain Quest have offered a 10% discount if we fill it, potentially 24 participants could be accomodated there.
MikeHolstine? will check exact conditions with Mountain Quest.
We should try to get lecturers to stipulate travel plans early so that when one leaves we can fill their room.
We want to coordinate with CarlBignell? to control the telescope schedule so that there are as few as possible visiting observers during the school. Shouldn't be too much of a problem during the summer shutdown.
Name badge will be used as id for food in cafeteria
We want ~6 weeks lead time on financial aid, thus April 1st was suggested as the registration deadline. This is actually a sunday, let's make it the 2nd.
We don't want anyone to bypass the application process so that we have accurate predictions of numbers.
Have 10 1hr slots rather than 3 2hr slots, groups of 6, can do 6 10 min scans with groups of 6 people, then each person can have their own scan on paper.
Start Saturday night/Sunday morning based on when people show up, observing sessions can take place between midnight and 2pm due to visibility of Galactic Plane.
A desire was expressed to do more with the 40' data, compare it to GBT data, account for Earth's motion etc.
Coffee, etc will be set up in the science centre for the whole time so that students/lecturers can go at anytime.
There will be 10+ computers set up there. Need a switch so that laptops can be plugged in.
Someone needs to ask ChrisClark? to supply ethernet cables in the computer room for laptops
Check for laptop compatibility in lecture hall. We don't want powerpoint problems.
Need to check CharlieMyers?' and WolfgangBaudler?'s vacation schedules during school.
Order books asap, If we just order 60 we should have no problem disposing of them in SC shop.
Wait until we get news from NSF proposal and Hermitage before next meeting, one month or so.
