Presidency of the Rec Board

Mike McCarty declined to accept the presidency because of work scheduling issues. There was considerable discussion concerning electing a new president. Carla Beaudet tentatively accepted the presidency if 2 conditions are met:

Each months activities were assigned a Coordinator whose responsibility was to organize the activity.
Someone was willing to commit to organizing the summer picnic.

Treasurers Report

The treasures report was presented and approved.

Activites for 2008

The following activites and coordinators were assigned for the remainder of 2008

February Pizza and Games Night. Coordinated by Melinda Mello.
April Lan Xbox Party. Coordinated by Mike McCarty.
Easter Party. Coordinated by Sue Shears. Needs to be confirmed with Sue.
May Dinner and a Movie. Coordinated by Jay Lockman.
June Cass Railroad Excursion. Coordinated by Melinda Mello.
Picnic. (Aug or July) Glenn Langston was the suggested coordinator, but he needs to accept.
Pool Party.(Aug or July, which month the picnic is not held) Coordinated by Jules Harnett.
Golf outings. Months to be determined. Kenny Lehmen had expressed an interest in coordinating the tournaments. Verification of Kennys willingness to perform as Coordinator needs to be verified.
September Dinner and a Movie. Coordinated by Karen Oneil.
Board Dinner (Sept or Oct). Coordinated by Carla Beaudet.

Bylaw Suggested Changes

Karen Oneil suggested changing the day and time of the monthly meetings, noting that this required changing the bylaws. Committee members expressed the belief that the intent of specifying the day and time of the monthly meetings was to insure that everyone in the rec association (employees and spouses) had sufficient advance notification of the rec association meetings. It was noted that a constantly varying day and time would not suffice, but changing the day and time of the meeting for a whole year (to a day and time acceptable to the current board members TBD) would be okay as long as and the day and time were posted to all rec association members. Changing the day and time of the monthly meetings requires changing the bylaws. It was motioned and approved that Karen look into the bylaws to see what the bylaws specify pertaining to the day and time for board meetings and also search the bylaws for poorly specified items.

Exercise Room

The elliptical trainer was rubbing and had been taken apart by Mike Garrigan to access the problem. Apparently someone had previously taken it apart and broken a couple of covers and then used duct/electrical tape to hold the covers in place. Larry Morgan believed that the new equipment was still under warranty and should not have been taken apart by anyone. It was mentioned that it would be nice to have a point of contact for problems with the exersise equipment so that when problems arise there is a person who can be notified and either fix or contact the vender (when under warranty) to fix the problem. This might include soliciting help from GBt maintenence personel, but it was noted that the maintenence division is not responsible for the equipment. Mike Garrigan might be willing to perform as the equipment maintainer. It was suggested that he email the known heavy users of the equimpment, (suggested names were Bill Saxton, the Woodys, Jules, Larry, Mike Stennes, Mike Garrigan) to verify that no one already is responsible for the equipment and to see if they would appreciate someone taking on the role. Melinda will check with Mike Garrigan to see if he is interested in maintaining the exercise equipment.

Hamstead Players for 2008 Christmas Party.

The committee unamimously voted to book the Hampstead Player for the 2008 Christmas Party. Karen Onel will tell Sue Shears to go ahead and book them as soon as possible.

2008 Picnic

The committee unanomously voted to ask Sue Shears to come up with a couple of 2008 NRAO GBT picnic dates in July and August that do not conflict with other community activites so that the picnic day could be chosen as soon as possible.

Suspension of Meeting

The meeting was suspended until 2:00, Jan 22, 2008. At this date, the committee hopes to have a coordinator for the picnic and can have the election for president. Carla is the only candidate but as noted above, will not accept the presidency until a picnic coordinator accepts the task.

Discuss what to do with the bank CD that will mature in March.
